This article shows Users how to manage Payments for Students on the Payments section of a Student profile.
Users have the option to filter the data on the page by the following:
- Date range
- Credits
- Money
MONEY OVERVIEW
Users can view Student payments by filtering a date range to display the following:
This form has the following headers:
POSTED DATE
This field shows the date that the payment was posted to the system.
PAYMENT DATE
This field shows the date that the User assigned the payment to.
SECTION
This field shows which Product type has been purchases. Options include:
- Package (Course)
- Product (POS)
QUANTITY
This field shows the quantity of the Product item that has been purchased.
AMOUNT
This field shows the full amount of the Product.
AMOUNT PAID
This field shows the specific amount paid for the Product. This sum could include the following considerations:
- If the Amount paid was a deposit or full payment
- If the Amount paid had a Discount deducted
DISCOUNTS
This field shows the specific amount of any Discounts applied to the Product.
TYPE
This field shows the Payment Type for this Product. Options include:
- Full
- Deposit
- Instalment
BALANCE
This field shows if there is any outstanding balance owning for the Product.
PAYMENT METHOD
This field shows which Payment Method has been associated to this Payment Transaction by the User.
PAYEE
This field shows who the Payee of the Product was.
REF
This field shows a Payment Reference if added by the User.
NOTE
This field shows a Note if added by the User.
RECEIPT
This field enables users to VIEW or SEND an additional payment receipt to the Student.
CREATED BY
This field shows who assigned the Product or Edited the Payment Transaction.
ACTION
This field enables Users to EDIT the transaction.
EDIT A TRANSACTION
Users can select to EDIT a Payment Transaction by selecting the EDIT button on the page. Users are able to Edit the following fields:
- Payment note
- Payment reference
- Document ID
- Payment Date
- Payment method
Please note that if Users need to make any changes to the payment amount, they will need to do this directly on the Courses section where they can either add an installment payment or refund the payment. If the wrong amount was charged to the Student, the Course should be refunded completely and re assigned with the correct payment amount.
CREDITS OVERVIEW
It is possible to view how credits have been assigned and deducted by the system through bookings and Courses being assigned / adjusted on a Students account. This area will give you visibility to make sure Students have not been wrongly assigned Modules or owe you money for any Modules too.
The screenshot below shows a number of credit transactions by the system. Some of the items show in BLACK indicate individual Credit movements. If an item is shown in BLUE this indicates that there are other individual Credit movements associated to this specific item. The BLUE fields are effectively the summary for the individual items beneath them.
The form has the following fields:
POSTED DATE
This field shows the date and time the transaction was posted by the system.
TRXN GROUP
This field shows one of the following items:
- Session billing
- Package assigment
SECTION
This field shows one of the following items:
- Package (Course)
- PAYG (PayAsYouGo)
SERVICE TITLE
This field shows the title of the Module for this transaction.
NUMBER OF CREDITS
This field show the number of Credits in this transaction.
MIXED CREDITS
This field shows if the transaction is part of a Course that has Limit total number of Credits within the Course enabled.
PAYMENT CODE
This field shows one of the following items:
- Billing (System)
- Package Assignment (Course Assignment)
- Package Credit Assignment (movement of Credits within a Package)
REF
This field shows if the appointment was billed or blank (if Package assignment)
NOTE
This field shows a note by the system (usually shows appointment is billed)
CSP ID
This field shows the Client Service Package ID (Student Course ID) which is a unique ID to show the specific Course assigned to the Student.
CREATED BY
This field shows the User that created the transaction.
