The courses page gives you an overview of all the courses you offer. Courses are collections of modules offered as a Package or Course which can be assigned to Students so they can have booking credits assigned to their profiles.
You can filter the courses by Location, Tutors, Module Categories and Active and Inactive courses.
ADDING/EDITING A COURSE A COURSE
When adding a course there are 5 separate sections that must be completed.
- Basic Settings
- Package/Course Type
- Package/Course Credits
- Payment Information
- Notifications
BASIC SETTINGS
The following fields should all be completed:
- Title of the course.
- Description of the course.
- Locations - where the course is offered in.
- Status - whether the course is Active or Inactive.
- Logo - a specific Logo can be added to a course (only useful is shown to Students)
- Video - a specific Video can be added to a course (not used by Education Organisations)
PACKAGE TYPE
Package/Module Types can be:
SINGLE
A Course that can has no expiration date. Credits will never expire for Students if this option is selected.
EXPIRABLE
A Course that has a specific expiration period assigned to it. Options include a specific number of:
- Days
- Weeks
- Months
If a Course is assigned to a Student and it is marked as EXSPIRABLE and the Module credits are not used with the expiration period, the Course will expire and the unused credits will be re re-credited back to the system. The Student will lose any unused credits.
Should Users want to extend the expiration period of assigned Course, they can do so in the Student Courses section.
SUBSCRIPTION
A Course that has been created to have a Subscription type, will have multiple options to assign Module credits to Students over a specific period and with a variety of credit and Payment options.
This type is not usually used by Education Organisations.
PACKAGE CREDITS
Modules added to a Course can be chosen by selecting Pick Modules. Once these Modules are chosen they must be added by selecting the "+ADD" button. Each Module must have a number of Credits.
For example: If there are 4 ETM Lecture days in a Course, 4 would be selected on the right hand side of the form. All modules within a particular course must be added.
LIMIT PER-COURSE NUMBER OF CREDITS
If Users want to restrict the number of total credits that Students use within a Course they can do this by selecting LIMIT TO and then enter the number of credits.
LIMIT TO is not usually used by Education Organisations. NO LIMIT is the default option.
PAYMENT INFORMATION
User must enter the payment details for this Course and should fill in the following options:
VISIBLE FOR
Users can define who can see this Course and assign it to Students.
COURSE PRICE
Users can configured if a Course is FREE or is PAID. If PAID is selected, Users should enter the default price for the Course.
There are also options to:
- Hide Price (from Students)
- Show Price (to Students)
- Tax-free
- Has tax (Users should manually enter the tax amount - this will be shown in Reports and in Student receipts)
SELECT A PAYEE
Users can select if the payee of the Course is the Education Organisation or if it should be paid directly to the Tutor. Only Tutors marked as "Self Employed" will be shown in the list if Trainer is selected.
CUSTOM RATES
It is possible to offer Custom Rates for specific Students or Groups of Students. Users should select the required filter and then enter a Custom Rate accordingly. When Students that have a Custom Rate associated to them (individually or through Groups), they will see this price as will other Users that have permission to assign Courses to Students.
ALLOWED PAYMENT PROVIDERS
Users are able to select which specific Payment Providers are associated to this Course. This list is configured in SETTINGS > PAYMENTS by Education Administrators.
NOTIFICATIONS
Users can configure specific additional Notifications that relate to this specific Course which may be different from the general system notifications configured in NOTIFICATIONS by Education Administrators.
CUSTOM ToS
Users can enter custom terms of service which can be presented to Students if Users have configured the Student portal to enable Students to purchase Courses online.
EXPIRATION NOTIFICATION
Users can configure if this specific Course should remind Students when it is about to expire if Payment Type = Expiration.
SUBSCRIBE NOTIFICATION
Users can configure a custom Subscription notification if Payment Type = Subscription.
Once users have configured the Course exactly as they would like, they should select CREATE. If there are any problems with the data entered in the form (i.e. Users have missed a mandatory field) the Course will not create. Users should go through each of the Course options to view and amend the issue.
