This article goes through the Package Credits report. The Package Credits report shows Users details of Packages and associated Credits that have been assigned through a date range.
GENERATE REPORT
To generate a report, Users should go to the REPORTS section and select the "+" button. The GENERATE REPORT form will show and users should select the following:
CHOOSE WHICH REPORT YOU WANT TO GENERATE
Users should select Daily sessions.
CHOOSE WHICH FORMAT YOU WANT TO GENERATE
Users have the following options:
- .csv
- .json
- .xls (May take longer to generate)
CLIENTS
Users have the following options:
- All Clients (this includes all Client status')
- Active Clients (this only shows Active Clients)
- Specific (Users can select individual or multiple Clients)
STATUS
- All Packages (this includes all Package status')
- Active Packages (this only shows Active Packages)
- Expired Packages (this only shows Expired Packages)
- Archived Packages (this only shows Archived Packages)
ASSIGNED SINCE
Users should enter a start date from which they want to view data from.
ASSIGNED TIL
Users should enter an end date to which they want to view data until. This date can be a date in the future if required and can include booking information for sessions that have not yet occurred.
Once Users select GENERATE the request will be made to create the report. Users will see the system is generating the report as shown below.
Reports are generated on the Utility Server on Fisikal which means that Users can continue to use the system and come back to view the report when they want. Reports are always stored in the system for Users to go back to at any time so they can see what the system looked like at a specific date in the past.
Once the report has been generated Users will see the "generating" icon is no longer displayed and they can see the icon change to show Users can download the report. The report will download from their browser and will show in the "DOWNLOADS" folder on their computer.
To open the report, Users should select to the report they want to open and the application they want to view this in (in this example Excel has been selected).
It is recommended that Users select the square button next to row 1 and column A to SELECT ALL DATA and then apply a filter (shown in SORT & FILTER) so that a filter is applied to the columns to make it easy for Users to filter the data as required.
REPORT FIELDS
Users will see the following fields for this report:
CLIENT NAME
This field shows the name of the Client that the booking is made for.
CLIENT FKL ID
This field shows the Client ID field.
CLIENT STATUS
This field shows the Status of the Client.
SERVICE TITLE
This field shows the name of the Service that has been booked.
ASSIGNED
This field shows how many Credits have been assigned to this Package.
USED
This field shows how many Credits the Client has used already in this Package.
REMAINING
This field shows how many remaining credits the Client has.
FUTURE SESSIONS
This field shows any future bookings associated to this Package.
PACKAGE CREDIT LIMIT
This field shows whether the Package has a Credit Limit.
CREDIT LIMIT
If a Package has a Credit Limit - the number of Credits will appear in this field.
ASSIGNED DATE
This field shows the date that the Package was assigned on.
PAYMENT DATE
This field shows the Package Payment date.
START DATE
This field shows the date the Package is due to Start on.
EXPIRY DATE
This field shows the date the Package is due to Expire on.
SITE
The Site at which the bookings will take place.
PACKAGE TITLE
This field shows the Title of the Package.
PACKAGE ID
This field shows the Package ID as created by the system.
CLIENT SERVICE PACKAGE ID (CSP ID)
This CSP ID is a field that shows a specific Package, assigned to a specific Client.
AMOUNT PAID
This field shows the total amount paid for the Package.
BALANCE
This field shows any amount outstanding for the Package.
PAYEE
This field shows the Payee of the Package.
ORDER ID
This field is a system generated ID Code for the specific Transaction.
CSP STATUS
This fields lists whether the Package is Active or Inactive.
PERMENANT EXPIRATION
This field shows whether the Package has been permanently expired.
CSP REPEATING
This field shows if this Package is a repeating Package or not. If it is a repeating Package this field shows how often the Package repeats:
- 1 month
- 1 week
- 3 months etc
LEAD
This field shows if this Client is a Lead Client.
LINKED TO
This field shows the name of any clients that this client is linked to if they are not the Lead Client.
LINKED CLIENT
This field shows the name of any clients that are linked to this Lead Client.
TERMINATION
This is the Termination date of the Package.
TERMINATION NOTE
This field contains any notes that may be associated to the termination of the Package.
EDIT REPORT
Users can select to EDIT a report by selecting the EDIT button (pencil icon). Users will see the form below:
Users can only change the STATUS of the report to INACTIVE which will remove it from the Reports Overview page. Users can always go back to view the report which has been marked as INACTIVE by filtering the Reports Overview page to show INACTIVE reports.
