SYSTEM CONFIGURATION
You will be assigned and sent a manager login and trainer login to start you off J
You should log into Fisikal on the following URL with your MANAGER log in.

Once you land in the system you can navigate to the areas of the site:
- Schedule

- Services
- My Development

- Reports

- Subscriptions
This document covers the areas that you will need to get started so don’t think that you will have to know everything about these areas when you are just starting.
As the MANAGER role, you will set up the system as you need it to be. Once this is done you might never need to go back to this site unless you want to add more services / packages and change other configurations. All system management should be done on this role.
Your TRAINER role should be used just for the day to day running of your businesses.
SCHEDULE
This tab has already been configured for you to show the following 3 schedules:
- Club Schedule
- Personal Training
- Small Group Training
When you log in as a trainer you will ONLY see MY SCHEDULE, we have set up the site so you have 2 Service Categories:
- Personal Training
- Small Group Training
This is how the system should be set up so your customers know which products they are purchasing from you and how to interact with your schedule.
If you do not want to use either Service Category, please email support@fisikal.com and the support team will show you how to make the relevant changes that you would like.

CLIENTS
You already have 1 test client added to your site. You can go in and change the email for this user. Please make sure that it does NOT have the same email address as your Trainer or Manager profile as this may cause problems in the future.
We recommend that you do not load in your clients until you are happy with your set up and are ready to start assign them packages and future bookings.

TEAM
Your site has been set up with 1 team member – you as a SELF-EMPLOYED TRAINER. The reason you are “Self-employed” is so that you can manage MONEY and make sure that the money goes into your account.
As you are only using Fisikal as Trainers now and not Studios, you should not need to learn more about managing Team members. If you do want to learn more please click here.
SERVICES
The Services tab has several sub categories as follows:
- Locations
- Categories
- Activities
- Services
- Packages
These attributes are all important for your site to work.
Locations
The Locations attribute is an essential area of the Software. It is not possible to create a Service without a Location. The Location field is used on the Schedule so that Users can view where bookings are taking place. Locations are also used in Notifications to inform Clients and Trainers where a booking will be delivered.
It is possible to have multiple Locations in one Club. When you have more than one location you will need to set working hours in each location. The system does not consider travel times between locations, so please make sure you either just use 1 Location or you configure Working Hours at both. If you are using more than 1 Location, you will need to configure Services so you can be booked the other Locations. You can learn more later in Services.
You MUST change the name of your LOCATION as it has been set to “Location Name” right now.

Categories
Service Categories are a grouping mechanism that help Clubs manage bookable entities; Services. Service Categories can also be configured to show on Client sites and can direct Users to different areas in their portal.

Activities
An activity (Activity Category) simply put is a grouping mechanism for the type of events you offer. For Clubs this is usually a group of Activities such as Personal Training (PT), Cardio / Strength Classes or Inductions. It is not possible to create a Service without an Activity. Activities also help colour the Schedule so you can visibly see different Services on the Schedule.

Services
A Service is something that you can book, with an associate Trainer, in an associated Location with an associated Activity Category, with a specific Group size and some permissions. Without a Service (and all underlying attributes) it is not possible to add a booking to the Schedule.
We have already configured the following Services in your site:
- PT 60mins
- PT 45mins
- Small Group Training 45mins
You can create and manage as many different types of Services as you like in the Software. To learn more about Services click here.
Packages
Packages are collections of Service offered as a Package or Package which can be assigned to Clients so they can have booking credits assigned to their profiles.
We have already added in the following Packages for you:
- PT 60mins 1 Pack
- PT 60mins 4 Pack
- PT 60mins 5 Pack
- PT 60mins 8 Pack
- PT 60mins 10 Pack
- PT 60mins 12 Pack
Right now, NONE of these are visible to your Clients as they need the following information to be configured by you before they are published:
- Adjust the prices
- Adjust Expiration Period
- Adjust / create / remove package combos that you want
- Adjust if packs to be client visible
Clients will not be able to purchase any package with you until you have added in your Stripe details in your TRAINER profile (not the MANAGER profile) in your Settings.

You can also manage subscriptions in the Software, we have not pre-configured any for you. Here you can manage recurring payments with a variety of different billing options.

WORKING HOURS
Working Hours management in the software enables Users the relevant permissions to select when a Trainer is working or not. It also enables Users to configure what specific Services a Trainer can deliver at specific times of their day.
What this means for you as Trainers is that you can open and close your working hours so your Clients can make bookings with you.

NOTIFICATIONS
The Notifications section of the Software controls which system communications are sent. You have 2 sections here as follows:
Personal
This section of the software allows the Club Manager to control what notifications they receive personally and what notifications are received by trainers and clients.
As you are being set up as TRAINERS in the system, this section only concerns you when you want to Go-Live as you can control the GLOBAL SETTINGS for notifications.
Club
This section of the software allows the Club Manager to configure which specific notifications are sent by role and type.
When you do Go-Live you should make sure that CLIENT and TRAINER notifications are turned ON.

Profile
This section allows you to change your MANAGER profile. You should not need to do this.
You will need to know how to do this when you log in as your TRAINER profile to check your preferences and enter your payment.

Club
This area is an important area of the system so most of these will have been configured for you. However here you can change your logo, adjust cancellation periods, open and close hours, social media links etc.

Payment Settings
You do not need to change these in your MANAGER profile. You will need to add these in in your TRAINER profile so your Clients can purchase Packages with you.

Discounts
If you offer discounts to some of your clients here is where you do it.

Groups
This is a great way to manage Clients within the system. You can link Users to Media, Bookings and Communications.

FISIKAL APPS
We recommend that you have access to the following 2 apps:
The PRO app is designed for your Trainer login. Here you will manage your business on the move. You should always log in with your TRAINER profile here.
The MEMBER app is designed for your Clients to make bookings, payments and view content associated to their profiles. You should use this app to test how your customers will see your app. We always recommend that you have a client log in – but do make sure that you don’t use the same email address as your Trainer profile.
